Technical information about your visit
Our website hosting provider keeps server records that include your IP address, the date and time of your visit, the pages requested, and your browser and device type. We use these to keep the website secure and running.
Sensitive building information
Please do not put security-sensitive drawings or documents in the enquiry form. Tell us they exist and we will arrange a suitable way to share them.
3. Cookies and similar technologies
- Our website does not use analytics, advertising or social media tracking cookies, and it does not set cookies on your device when you browse it.
- The spam protection on our enquiry form uses a hidden field and a timing check. It does not use cookies or external services.
- The Contact page has a map from Google. When you open that page, the map loads from Google, which may set cookies and receives information such as your IP address. Google’s own privacy and cookie policies then apply.
- Our website links to our Facebook page and our LinkedIn profile. Following those links takes you to those sites, whose own policies then apply.
If we add analytics or similar tools in future, we will ask for your consent before they run, and we will update this policy and our Cookie Policy. You can read more in our Cookie Policy.
4. How we use your information, and why
We only use personal information where the law allows. These are the main ways we use it:
| What we use it for | Our legal basis |
|---|---|
| Replying to enquiries, discussing your project and providing quotations | Taking steps at your request before entering a contract; our legitimate interests in running our business |
| Carrying out and managing projects, including project records and handover | Performing a contract with you or your organisation; our legitimate interests |
| Recruitment | Taking steps at your request before entering a contract; our legitimate interests in hiring suitable people |
| Keeping the website and our systems secure, and preventing spam and misuse | Our legitimate interests |
| Meeting legal and regulatory duties, such as accounts, tax, health and safety, and insurance or legal claims | Legal obligation; our legitimate interests |
Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms. You can object to this use at any time (see section 8).
We do not add people who use the enquiry form to a mailing list. If we ever send marketing, we will only do so where the law allows, and you will be able to opt out at any time. We do not use your information for automated decision-making or profiling.
5. Who we share it with
We share personal information only where we need to, and we do not sell it. The people we may share it with include:
- Service providers who work for us under written terms, such as our website hosting and maintenance providers, our email provider, IT support, and our project records platform, Bolster, which holds project and installation records.
- The company that designs and looks after our website, which can see enquiries stored in the website for support purposes.
- Subcontractors, suppliers and manufacturers, where they need it to deliver or assess work on your project. We share only what they need, which is usually a site contact and the location.
- Accountants, insurers, lawyers and other professional advisers.
- Accreditation and certification bodies that audit our work.
- Regulators, courts, the police and other authorities, where the law requires or allows it.
- A buyer, if we sell or restructure the business, who would use the information as described in this policy.
6. Where your information is stored
We aim to keep personal information in the UK. If a provider processes information outside the UK, we make sure the transfer is protected, for example by a UK adequacy decision, the ICO’s International Data Transfer Agreement or Addendum, or another lawful safeguard.
7. How long we keep it
| Information | How long we keep it |
|---|---|
| Enquiries that do not become a project | 2 years after our last contact with you |
| Customer and project records, including contact details and correspondence | 6 years after the project ends, and longer where a contract, warranty or accreditation requires it |
| Accounting and tax records | At least 6 years, as the law requires |
| Job applications that are unsuccessful | 6 months |
| Website server records | A short period set by our hosting provider, normally no more than 90 days |
When we no longer need information, we delete or anonymise it.

10. Links to other websites
Our website links to other websites, such as our Facebook page, our LinkedIn profile and the SpaMedica Eye Hospital website, and the Contact page shows a Google map. We do not control these services and are not responsible for how they use your information, so please read their own privacy policies.
